For all of us at LIFT for Learning, the protection of personal data is of paramount importance. When you participate in the DigiSmart® project and entrust personal data to us, we go to great lengths to ensure that personal data is held securely and used only for the purposes which you have agreed to.

About this policy

This policy document explains the things which we think are important for you to know about the personal data we collect, the purposes for which we use the information and how we protect the data. We also mention some of the rights available to individuals whose personal data we are entrusted to use. If you have any questions relating to how we handle personal data you provide, please write or email us at the contact address set out later in this policy.

What personal information
we collect

To enable you to participate in the DigiSmart® project we need to collect personal data about the staff and pupils who will participate in the DigiSmart® project who we authorised to use our materials. We collect the names, email addresses, telephone numbers and reasons for participation of the relevant members of staff and only the names of the pupils who will be participating. We also store baseline data generated in respect of each participant to help schools better allocate resources. It is your responsibility to obtain permission from these participating individuals for us to use the personal data in order to provide the DigiSmart® service to them.

What we use your
personal data for

As you are the data controller in respect of all personal data you provide to us, we will only ever use that personal data in accordance with your written instructions. At any time you can tell us to stop using the personal data and we will immediately do so, although we will not be able to continue to provide the DigiSmart® service if this happens.

We collect and use contact details of members of staff only for administration and operational purposes specifically relating to the DigiSmart® project as follows:

  • to communicate project information and requirements
  • to provide updates on project news and activity

We collect and use participants' names and related baseline data only to maximise the benefit of the DigiSmart® project to those pupils as follows:

  • to ensure they meet the criteria we use to target children who will significantly benefit from the type of learning intervention offered by the project;
  • to track any learning gains they achieve in reading, literacy and ICT, as well as advances in confidence and self-esteem in order to assess the beneficial impact of the project; and
  • to provide them with unique individual passwords needed to access and use the online project materials.

Who we can disclose your personal data to

We will not disclose your personal information to anyone save for the following exceptions:

  • We will disclose your personal data to law enforcement agencies if we are required to do so by law.
  • We may need to employ contractors (which may be individuals and companies) to assist us with the DigiSmart® project, including for example, software development services, website hosting services and design services. These contractors may have access to the personal information we hold where this is necessary for them to perform their functions (but not for any other purposes) and we will always ensure they are bound by confidentiality agreements not to disclose any confidential information they may access when they provide services to us.

If at any time we need to disclose personal data in circumstances other than those above, we will always obtain your consent before doing so.

The data processor in respect of personal data collected and used for the DigiSmart® project is LIFT for Learning Limited (a company limited by guarantee and with charitable objects, registration number 05544951). Our registered office is 26-28 Hammersmith Grove, London W6 7BA. We are also registered with the Office of the Information Commissioner under the registration number Z1457960. Your rights in relation to
the personal data

As data controller of the data, you can at any time request to see the personal data we process on your behalf. If you believe that any personal data we hold is incorrect then we will amend that data. If you require us to delete some or all of that data we will do so, save where we are required by law to keep records.

Our safekeeping of
your data

We will periodically evaluate your personal data which we hold to determine whether we should continue to hold it. We have implemented all appropriate technical, organisational and security procedures to protect the personal data from unauthorised access or from accidental loss or corruption.

As the DigiSmart® project provides a live and interactive structured learning programme across the internet which is accessed by participants at particular times, it is critical that our resources are accessible to pupils without delays or latency to ensure the attention and interest of pupils is maintained. To achieve this without a disproportionate cost we use Kordia Limited, a reputable hosting services provider based in New Zealand, to host and maintain the DigiSmart® site and materials to benefit from the timezone difference between the UK and New Zealand so that bandwidth is greatest at the key times when pupils access the DigiSmart® materials. Our hosting service provider hosts all our online resources including the database containing the personal data you provide to us. With this exception, we will not be exporting your data outside the European Union.

Our websites and materials

Our websites, including the DigiSmart® websites, do not use cookies to track user traffic patterns. We only monitor patterns of access to assess which pages are the most used.

We always obtain permission before we publish photographs of individuals involved in the project on any of the DigiSmart® project websites or printed materials and these individuals are not identifiable by name. If photos of LIFT for Learning staff are published by LIFT and individual staff members are named, this only occurs where the staff concerned have consented to their publication.
